How to confirm dispatch

After you receive an order notification and dispatch the order, you must confirm dispatch of the order.

If you purchased delivery through Buy Delivery Services, you do not need to confirm dispatch since this is done automatically. For more information, refer to Buy Delivery Services. Providing tracking information or updating tracking information post-delivery will be counted as a VTR defect.

To confirm dispatch, you will need:

  • Dispatch date
  • Carrier name (From the drop-down menu)
  • Delivery service or delivery method (From the drop-down menu)
  • Tracking ID (supplied by the carrier)
  • Ship-from address (actual address from which you dispatched the order)
Note: Wherever Amazon is responsible under local regulations to remit taxes on sales by sellers when delivered to specific countries, the tax collection model may be determined by the ship-from address that you enter. As such, please select the final ship-from address in the drop-down. If you do not select a ship-from address in the drop-down, Amazon will use the default ship-from address that you provided in your VAT calculation settings at the time when the order was placed. If there was no default shipping address under your VAT calculation settings at the time when the order was placed, then Amazon will use the default ship-from address that you provided in your Shipping Settings or your Business address as the last source .

Further information on situations in which Amazon is required to collect and remit taxes by third-party sellers is available here.

After you confirm dispatch, we do the following:

  • Charge the buyer for the order.
  • Credit your seller account for the order.
  • Send a dispatch confirmation email to the buyer.
  • Update the buyer’s Amazon account with the dispatch information. The buyer can then see the status online.

Note: If you do not confirm dispatch of an order within seven business days of the dispatch availability date, we will automatically cancel the order. We will not charge the buyer, even if you already dispatched the order. We encourage sellers to enter tracking information as soon as the package is handed over to the carrier as it takes up to 72 hours for changes to be recorded. Providing tracking information post-delivery will be counted as an VTR defect.

If you are dispatching to customers in the UK or EU countries from a non UK or non EU country, you must dispatch each order received under a single order number from the customer in a single delivery. You must not split a single order number into multiple deliveries or combine multiple order numbers into a single delivery as that may impact customer experience (for example, through additional tax collection) which in turn may impact your product reviews.

If you split the deliveries for the orders dispatched to the UK or EU countries, all deliveries must be dispatched from the same country as the first dispatch. If you are unable to fulfil the second package from the same country, cancel the partial dispatch. This is because the tax collection model is determined based on the ship-from address provided for the first dispatch. Further information on situations in which Amazon is required to collect and remit taxes by third-party sellers is available here.

Notes:
  • The Confirm dispatch button will not appear on orders that qualify for Prime delivery. You must use Buy Delivery Services for these orders.
  • If you make a mistake entering information, such as the tracking ID, you can edit the dispatch information BEFORE it is delivered to the customer. It takes up to 72 hours for the report and metric to reflect the changes. Providing or updating tracking information post-delivery will be counted as a VTR defect. In Manage Orders, click on Edit dispatches next to the order, click on the Edit dispatch button at the top right, and then click on Re-Confirm Dispatch.
  • If you receive an order for multiple items and send them individually, the customer will be charged immediately after the first item, even if the items are dispatched in multiple deliveries.
  • If you deliver an order by hand, you can choose Other as the carrier.
Important:

We do not recommend confirming dispatches without tracking numbers. You are required to provide valid tracking numbers for 95% of dispatches in all categories.

Tracking is also required to qualify for exclusive programmes, including Premium Delivery options and guaranteed delivery date.

Without a valid tracking number, you are more vulnerable to an A-to-z Guarantee claim.
