Royal mail business collection FIR code

For anyone with a business collection or in the know. Previously with a collection I was given a laminated sheet with my FIR number and barcode on for the driver to scan at each collection. I have moved and just started my collection back up and the new driver says they dont do that anymore and they keep it in a folder in the van? surely that isn't correct as I have many times needed the FIR number myself for different royal mail contact forms.

can I ask if you have a collection how they collect for you, do they scan everything ion the van or at your premises. He also wanted to take the manifests and scan them in his van too?

They scan the FIR code at our premises which we keep on the wall by the door where the post is collected.

Don't know if it is different in different areas but you are right Customer Services do often ask for the FIR code...I was asked for it a month or so back when we had an issue with our collection

If it was held on the Van then the postie would need to make sure they come out with it. We have different drivers and vans each day so not sure how that would work.

If Royal Mail collect from you - they need an FIR barcode at point of collection, as they scan that and the manifest to cofnfirm collection. If you move premises, they normally provide a new FIR barcode as your legal entity might the same but the collection point will change

Ours is taped to the window, they always scan it, nothing else has ever been mentioned.

This is of course assuming they can be bothered to turn up, which sometimes they don't if there's bad traffic, or local flooding, or a tyre blows up, or the van breaks down, or they just 'run out of time and don't bother'.!!

Postie scans and we keep the card, manifested handed over and they sometimes scan on premises, others scan in van, even if we leave the post for them, they put it back through the door.

FIR proves the driver was there, though please be aware that this is not 'proof of receipt' and you will not receive any compensation if the item is not scanned from then on and undelivered.

I had an email recently from RM stating that they cannot add a collection to my FIR as only 1 collection address is permitted. I panicked thinking someone was trying to add their collection to mine. After 45 minutes hanging on the phone it turns out that they are moving to a new system which requires new FIR. That might have confused the driver as they have to have training on the new system

Postie shouldnt have FIR barcode in the van.

The barcode scan is there to prove the postie was at your business no earlier than a specified time. The scan also sends GSP co-ordinates to prove location. The FIR barcode should always be done on the business premises (on a window, door etc is all fine).

Scanning the manifest confirms what you are saying you are sending. For PPI mail, you will be charged for what you say is on the manifest. This is ok to scan at the van. It also tells the postie if Revenue Protection want to inspect what you are sending.

Having the FIR barcode in a pouch in the van is not correct procedure. It is also open to abuse as say the postie scans the FIR barcode but doesnt pickup your stuff. This could also be instructions from the posties manager to comply with 100% collection pickup rate.

The postie can show you the FIR barcode so you have the number. Its not a secret. It still shouldnt be in the van
