Utter Confusion Regarding Seller Verification, Product Listing Visibility and Brand Registry

Hi all, I’m praying that someone out there will be able to help me with what I feel are some quite basic queries regarding the verification of my account and what I am / am not supposed to be able to do or see at this current point in time. I have become exasperated with speaking with Amazon Seller Support, the Account Verification team, Brand Registry team and my Dedicated Account Manager via E-Mail, live phone chat and typed support chat, and have been forced to try here as a last resort. (Note: This is going to take a while to read through, I do apologise but you need the detail in order to understand my concerns.)

First a bit of background. I’m completely new to selling on Amazon. Last year I developed a new card game called UFO Wave. As I wanted to retain ownership of this card game I created my own company Paradigm Games. I launched the game on the crowdfunding website Kickstarter. This was successful and the game was manufactured. It was delivered from China and I have received many copies of it in boxes currently in storage. As I live in the UK I decided that the best website to attempt to sell the game would be Amazon.co.uk. I will only be shipping games to a UK based Amazon warehouse, I have no intention of sending any abroad. I assume that this means that it will only exist on Amazon.co.uk but that’s fine as long as people from other countries can still go there and buy it.

I believe I have set up a new business account with a professional plan, for which I have already been billed £30. I created the account on 6th November. I was annoyed that the name of my company had already been taken by someone else so I opted for Paradigm Games UK instead. I have not received any E-Mails from Amazon stating that this disparity between my account name and brand name is an issue.

I believe I have set the account all up correctly. In order to prove my bank account for the company I had to send through a bank statement. I am no longer being prompted for any further documents. All of the pages under Account Details seem to be fully completed as required.

My Account Status currently says Information Provided. Your account is under €15,000 disbursement limit. My Current Status of Listings says Active (Listings available for sale on Amazon). Under My Services section it has Sell On Amazon Professional (Amazon.co.uk, Amazon.de, Amazon.es, Amazon.com.be, Amazon.fr, Amazon.nl, Amazon.it, Amazon.se, Amazon.pl). Amazon Payments Europe Agreement accepted. Amazon Services Europe Business Solutions Agreement accepted. Amazon Payments Europe Acceptable Use Policy accepted. For Fulfilment By Amazon it says Registered (Amazon.co.uk, Amazon.de, Amazon.es, Amazon.com.be, Amazon.fr, Amazon.nl, Amazon.it, Amazon.se, Amazon.pl). For Amazon Business it says Registered (Amazon.co.uk, Amazon.de, Amazon.es, Amazon.fr, Amazon.it)

The Deposit Methods screen shows that I have got only Amazon.co.uk set as an Assigned Marketplace (I assume this is fine). Account Verification states Verified with a green tick. In the Manage Deposit Methods I can see my Bank Account Number. It has a Status of Active and Account Verificaiton Status of Verified.

The Charge Methods screen shows that my Visa Debit/Credit card is assigned to all marketplaces including Amazon.co.uk. I assumed that it needed to be done for people in other countries to purchase my products from amazon.co.uk. It seemed to let me with no complaints. On Manage Charge Methods my card is listed and has the Status of Active.

The Business and Contact Information section on the Identity Information screen shows my company name with Sole Proprietor under it, which is correct as I own the company and have no staff working for me. It states “Successfully submitted all mandatory details” at the bottom with a green tick. The Primary Contact section on the same page has my full name and company Email address and again has this message with a green tick.

On the Display Name screen I can see display names for all the different marketplaces I signed up for on the Charge Methods screen incluiding of course amazon.co.uk

I have not yet touched any of the screens in the Shipping and Returns or Tax Information pages as I plan to use Amazon FBA, I assume I don’t need to mess with these.

I created two listings for my products (the game and an optional play mat) over a week ago. I believe I have filled in all fields correctly. When I tried using Paradigm Games as the Brand Name on my products it asked me to confirm this by sending in a photograph of one of the products with the brand name on, which I did. I then received an email back saying this had been accepted and I could use Paradigm Games as a brand name. I find it utterly bizarre that this is completely seperate to “Brand Registration” but whatever. I set the Start Sales date for the current date, and added loads of search terms for the products.

At the moment both the products have a status of “Inactive (Out of Stock)” alongside them in my Inventory. They both hace SKU numbers which Amazon appears to have auto-generated and these have the status New. Both products also have ASIN numbers. All mandatory fields have been filled in and there are no complaints or red tabs when I go to Edit them.

When I created the listings I was surprised to find that I could not create a detailed product page with loads of images, videos etc like I’ve seen on many products for sale on the site. Amazon Seller Central left me completely in the dark about this, but reading online I found out that some (maybe all of this) becomes active by going through the Brand Registration process. So went to Brands under Account Details and enrolled Paradigm Games as a brand. It asked me to upload the trademark certificate which I did. Then suddenly I hit a brick wall. It stated that the registration was on hold because my account was not yet fully verified.

I was confused by this as there was no indication that any documents were still required by Amazon and everything under Account Details looked absolutely fine. So I contacted Seller Central and they told me to check my Account Status by entering the words into the search box on the front screen and then click the orange Continue button in the search results on the right. When I did I received a message stating that my account is still pending verification.

I became further confused when I went to amazon.co.uk and attempted to search for my products and neither were coming up in the results. I reached out to my dedicated Account Manager and he stated that this was because Amazon had not yet received my stock. However I can find loads of pages on Amazon that say Unavailale out of stock.

So at last onto my queries regarding what is going on at present:

  • My account status says “Information received” at the moment not “Validated” or “Verified” (or something similar). Is this normal for a new account even if all of the required documents have been sent and all the sections under Account Details look correct?

  • What wording will the status change to when it gets sorted out?

  • Roughly how long should I expect this to take?

  • Is the Account Status of “Pending Verification” when I search for Account Status and click Continue appearing for the same reason?

  • Am I able to send my products to Amazon and sell them on Amazon.co.uk right now even though the above has not taken place?

  • Are my listed products currently not appearing on Amazon.co.uk when I search for them because they currently have the status “Inactive (Out Of Stock)”

  • If so why are there lots of pages of products on Amazon.co.uk which state “Unavailable out of stock” on them, why are these still showing? Is it because they have sold well so Amazon has chosen not to set them back to Inactive when their stock ran out?

  • Will the status automatically change to Active once they receive my products and then I’ll be able to find them (I don’t necessarily expect them to be at the top of the returned items)?

  • Do I have to wait until my account is fully validated before my brand registration will complete? In other words I’ll have to start selling without any videos until Amazon can get it sorted out?

  • I want my products to be able to be found and purchased by anyone visiting Amazon.co.uk, whether they live in the UK or abroad. I do not intend on sending any actual products abroad. Did I need to have signed up for all those other Marketplaces on the Charge Methods screen or did I just need to choose Amazon.co.uk? If they aren’t needed would it be fine to go back in there and remove them?

  • I assume it doesn’t matter that my brand is Paradigm Games but my Seller Account Name is Paradigm Games UK?

  • When I hover over the white box with Paradigm Games UK in at the top of the main screen it’s listing a load of different countries. Do these countries correspond to the marketplaces I signed up for on the Charge Methods screen under Account Details i.e. if I’d only selected Amazon.co.uk it would only show United Kingdom here?

  • A few of the countries, not including United Kingdom, have Pending Registration in brackets alongside them. What does this mean, and could this be affecting my Account Status at present or is this completely unrelated?

If you know the answer to any of the above for definate please can you assist? I’ve been having 10 days of mixed messages from Seller Central Support and I need some clarity on what’s going on with my account. Any help greatly appreciated.

This means that your account is still undergoing verification. Amazon have your documents and are reviewing your application to setup a selling account.

Yes, until your account is fully verified you will be unable to use Brand Registry.

Yes, this can take weeks or even months in some cases. There is no fixed timescale for approval of a new account.

Account Status Valid

Impossible to say. Speculation is that there are a lot of people attempting to create new Amazon accounts at the moment to try and sell and support their income, but to be honest account setup always seems to take a long time in some cases.

Yes

This is a tricky one. More so because of your sector. It is likely your product will be classified under games and toys - there are going to be additional documentation and safety requirements requested at some point I suspect, but I’m not a toy expert.

Furthermore it is generally advised not to send stock into Amazon until your account is verified. In the event that your account isn’t approved for whatever reason, or that it takes a very long time, you won’t face having al your stock stuck in an Amazon warehouse. You can sell it on other platforms in the mean time etc.

Yes, also because there is no inbound shipment consignment Amazon have no visibility about future stock availability.

I believe so. To be honest the operation of the catalogue in this regard is a mystery to many of us. Amazon do what they do.

Once they receive them and get them booked in a checked. At this time of year if you were to do so that could take several weeks after receipt depending on which fulfilment centre and how busy it is.

Yes, I think that is the case.

You should probably look into EFN selling and enabling export. This is where you create listings on the EU marketplaces and Amazon fulfil the orders (at greater expense to you and the customer) from the UK FBA warehouse. If you want enhanced content I believe that you need a Brand Registry setup for each EU marketplace and you’ll need an EU trademark as the UK one carries no weight.

No, your store name doesn’t have to align with your brand.

I take it you mean in the Seller Central screen, yes this is the marketplace selector. Each country operates as it’s own ‘site’ with the UK being your ‘home’ marketplace.

I am not totally sure without seeing it, all the EU sites will be verified alongside the UK one at the same time.

You have gone in at the deep end with your plan (own company, own product, Brand Registry, FBA etc.) so it will take a while I’m sure before you get all the kinks ironed out. Amazon can be exasperating but the forums are a great resource, as is Seller University

Best of luck!

Just to confirm that you have registered with HMRC as self-employed sole-trader, have received your UTR and have given that to Amazon for a BUSINESS Seller Account, not Individual Account?

Many new sellers assume that Individual Account is the same as sole-trader - it is not, and that Professional is the same as Business Account - it is not either.

There are two account types - the legal entity:
Business - for selling items for profit
Individual - selling off ones own personal second-hand items
Then there are two Selling Plans:
Professional - where you pay the monthly £30 fee (which beings other perks too)
Individual Plan - no monthly fee, but pay an extra small fee per sale.

Hey all,

Thanks so much for your answers, it’s helped clear up some of the mystery for me. I’m amazed at how slow the verification process can apparently sometimes take without any regular indicator to the seller, basically it sounds like I’m at the mercy of Amazon on this.

I believe my company is registered as a sole trader (sole proprietor) not a limited company as it’s just me running it. I just wanted a nice logo on the box instead of my name (Kind of wish I hadn’t bothered now it’s created so many problems). I’ve got a proper UTR number and last year was asked to fill out my tax return so it’s clearly all set up correctly.

Regarding Amazon’s visibility of it, you might be able to provide additional clarity on this. I think when I set up the account I was asked to enter my UTR number, but I’m not certain on this. If I’d have known in advance that this was going to turn into such a shambolic confusing mess I would have wrote down literally everything I did/sent and when.

Here’s where things get particularly bizarre. On the 6th November, the day I set up the account I received an E-Mail from Amazon asking me for one of a number of HMRC related documents e.g. tax return request letter. Below is the text of that E-Mail:

"We are contacting you as we need some additional documents to continue with your account verification
_ _
What happens if I do not send the required documents?
You have a total of 60 days from the day we first contacted you to provide all documentation or information requested to complete the verification. The time that Amazon takes in reviewing and validating the information or documentation provided will not be counted against the 60 days threshold you are given. Failure to provide this on time will lead to your disbursements being disallowed until verification has been completed.
If it has been more than 60 days since we first contacted you, your disbursements may have already been disallowed and will remain temporarily deactivated until the requested information or documentation has been provided and your account has been verified.

What type of document do I need to provide?
Business verification documents:
_-- One of the following documents issued by HM Revenue & Customs (HMRC) within the last year: _
- Class 2 National Insurance Contributions (NICs) Bill
- Online VAT Certificate
_- Self-Assessment notice to complete a tax return _
- Letter confirming your Unique Taxpayer Reference (UTR) number
- Self Assessment Statement
- Short Tax Return.
_ _
We can also accept the following documents issued by HMRC:
- Certificate of Registration for Value Added Tax (VAT)
- “Welcome to Self-Assessment” letter confirming your UTR number
- Letter confirming your VAT number, following a VAT1 application.
_ _
_If you are unable to provide any of these documents, you can request a Confirmation of Unique Taxpayer Reference letter by calling HMRC and asking for the “Self-Assessment Department”. The letter may take two weeks to arrive by mail. _

_The document must be in one of our supported languages. The supported languages are English, Chinese, Dutch, German, Italian, Spanish, Swedish, French, Turkish, Polish, Portuguese, Arabic, Hindi, Tamil, Vietnamese, Thai, and Japanese. If the original document is not in a supported language, please provide a copy of both the original document and a certified translation. _
_ _
How do I submit the required documents?
To continue with your account verification, follow the below instructions to provide the requested document.
1. Go to the “Identity information” section of Seller Central.
https://sellercentral-europe.amazon.com/sw/SSR/BusinessKYCInfo/spaDashboard
2. Follow the prompts to upload the required document.
3. Click “Save” and “Submit for verification”.
_ _
Once we have received the required documents, we will continue with your verification.
_ _
We’re here to help
If you have any questions, you can contact us at any time:
https://sellercentral-europe.amazon.com/help/hub/support
_ _
The Amazon Payments team"

As you can see the E-Mail requested me to click the link and follow prompts to upload the document. The link took me to my Identity Information page, but this already said “Successfully submitted all the mandatory details” so there was no way to upload this document!

I reached out to Seller Central Support Support over the following days about my account verification and about this E-Mail I received, explaining that I could not upload the document. In desperation I opened a new case, and attached it to that instead and sent it through. I also forwarded it to my dedicated account manager, who only ever comes back with semi-automatic replies which leave me in the dark. At some point in preceedigs I obtained the address apuk-seller-verification-enquiry@amazon.co.uk from someone and sent an E-Mail to this with my queries, but I’ve not had any direct responses from it as yet.

I sent lots of screen grabs to my dedicated account manager showing him the status my account is currenly showing as pending verification when I search for it on Seller Central. On 15th November I received a very short message from him which stated the following:

“From our end your account is verified. Please wait for the concerned team to confirm the same.”

Eventually on 16th November i got a response from Amazon Selling Partner Support which stated the following:

"I understand that you are encountering issues to complete the verification of your account.

_Upon reviewing your acccount, please note that the notification you recieved on November 6th was sent incorrectly. _

_I apologise for the inconvenience this has caused you and your business. _

Please note that your account has been fully verified and you are no longer required to send any further documentation to complete the verification of your account."

I had further concerns that the above was not correct due to what I was seeing on Seller Central so I went back to this with further queries.

Early on the 17th I received another E-Mail from Amazon Selling Partner Support which reads the following:

"Hello from Amazon Selling Partner Support,

Thank you for contacting us today. My name is Paola and I’m please to assist you with your case.

From your correspondence, I understand that you are having issues with your account verification. I know this situation may be very frustrating for you, apologies for any inconvenience this may caused you.

After investigate your case, from the verifications team they confirmed us that your account is fully verified and ready to sell in Amazon.

Regarding Brand Registry issues, I highly recommend you to contact them through the following link in order to receive more information regarding the status of your brand: https://www.amazon-brand-registry.com/es/contact_us?initialSessionID=261-2772303-4874028&ld=ELXXABR-sellercentral-europe.amazon.com

Regarding your listings I can confirm you that are appearing in Amazon with no issues, like you can see in the following links:

https://www.amazon.co.uk/dp/B0BM6HSMGR?ref=myi_title_dp

https://www.amazon.co.uk/dp/B0BLWFNKMD?ref=myi_title_dp

Again, apologies for all the inconvenience caused."

And that brings us up-to-date. Now it’s time for some more questions from me regarding the above…

  • As you can see from the E-Mails both my dedicated account manager and Selling Partner Support seem to believe my account is “fully verified and ready to sell in Amazon”. If so why then, when I enter Account Status in Seller Central and click the orange Continue button does it come up with a message stating that my account is still Pending Verification, and why does my Account Status on Account Details page still state “Information received” instead of “Valid”, and why has my Brand Registration not now unpaused and completed (I’d expect to receive an E-Mail when it does)?

  • Are my dedciated account manager and Seller Central Support wrong in the wording they are sending me? Or is being “fully verified” different to my account becoming “valid”?

  • If they are wrong does anyone know how on earth they could be reaching this conclusion?

  • Is the Email for the account verification team which I obtained, apuk-seller-verification-enquiry@amazon.co.uk correct, and if so should I expect a response from them at some point or do they tend not to reply? I was informed by my dedicated account manager that there is no number to contact the team directly, so I only have this to go on.

  • If any of you reading this have an account with Account Status currently showing as “Information provided” can you verify that 1) When you enter Account Status into the search box and click Continue button you get a message stating your account is pending verification, and 2) That you have sent stock to Amazon, the products are findable on the site, and you are making sales? I’m more than happy send my products to Amazon if I know with certainty that they are not just going to sit in a warehouse for months (while no doubt being charged for the priviledge) while still remaining inactive because of my account status.

I’m sure you can see why I’m so confused by all of this. Amazon really need to work on their guidance for new sellers, it just seems to be a giant amount of guesswork.

Thanks in advance for any further responses

Utter Confusion Regarding Seller Verification, Product Listing Visibility and Brand Registry

Hi all, I’m praying that someone out there will be able to help me with what I feel are some quite basic queries regarding the verification of my account and what I am / am not supposed to be able to do or see at this current point in time. I have become exasperated with speaking with Amazon Seller Support, the Account Verification team, Brand Registry team and my Dedicated Account Manager via E-Mail, live phone chat and typed support chat, and have been forced to try here as a last resort.

If you have any questions, you can contact us at any time:

I had further concerns that the above was not correct due to what I was seeing on Seller Central so I went back to this with further queries.
