Refunds of Royal mail Labels ordered via Amazon

Hi since we have to link our Royal mail accounts for VTR occasionally we need to cancel the label which we can do on the Amazon order.
we get the message
Label refund 1 - Decision expected from Royal Mail by Thu, 15 Jul 2021 (this is for a label canceled today)
in a month I get the email from Amazon
this was for a canceled label ordered 9/4
email dated 9/5
Dear Seller,

A postage refund from ROYAL_MAIL of £4.41 for order -******-*** has been approved. If you purchased this delivery using a linked carrier account, please work directly with the carrier for the refund. If you purchased the delivery without a linked carrier account, the refund has been applied to your seller account
The Problem is Royal mail who we have paid for the postage are not getting details from Amazon so we can get the refund.
does any one know how to get these refunds
Royal Mail want a reference and Amazon are not giving one apart from the order number which they dont give to Royal mail!!
any help would be great

we have the exact same issue for 5 labels cancelled on different days, we are really struggling to get Royal Mail to refund the cost of these cancelled labels.

But, there is a form that can be filled in requesting an adjustment to a label order that is less than 24 hours old. Deatils can be found here:

We have used it once and Royal Mail called and adjusted the invoice straight away.

Royal Mail have informed us, that a label is only charged for when it is used on a parcel. So if you don’t use it and it doesn’t end up in their system then no charge. You are only cancelling it on Amazon so you can tell them about the new label.

We have never been charged for cancelled labels. These are tracked labels, if that makes a difference.

We only use RM24 and they as soon as one is created, it is invoiced by Royal Mail. When we cancel a label, it is only cancelled off Amazon’s system, it is still included in the days manifest and is invoiced.

Fair and equal are not the same. Whilst Amazon “may” treat all sellers equally, they do not treat them all fairly.

Oops wrong thread
