VAT Calculation Service - Non-VAT registered

Hi,

I have been selling on Amazon FBA for over a year now.
I own a UK limited company and am not registered for VAT.

I have received an email from Amazon that my “Invoice Defect Rate is above the target of 5%…must provide a compliant VAT invoice within one business day…etc”.

They then offer me to activate their VAT calculation service or to do it manually.

  1. Do I have to upload VAT invoices for every sales if I’m not VAT registered?
  2. If I go to activate their VAT calculation service they ask for a VAT\GST registration number (which I don’t have), so how can I even use their service if even needed?

Any advice would be very much appreciated.

You can’t use that service if you are not VAT registered.

You must upload an invoice within 24 hours (or maybe a business day i forget) for every business buyer and also for any buyer who asks for one.

you cannot upload a vat invoice if you are not vat registered but you MUST upload a receipt to business customers or anyone else that asks for one within 24 hours
you do NOT have to use their vat calculation services we are vat registered and we use a free invoice tool found on google for the few business customers we have

Okay, thanks for the information.

So I have never done this, and looking at the “Manage Orders” page, does it tell me who has requested an invoice? Or do I just upload an invoice so every order with an action “upload invoice”?

Amazon can automate invoices for VAT registered businesses but cannot automate issuing of purchase invoices for not-VAT registered businesses (like mine).
They ask us to do it by hand and if we don’t do it will soon impact our account health status including suspension of account.
I just was on a chat with Amazon asking them to automate the process of issuing of purchase invoices for non VAT regiseterd businesses.

I fiund it ridiculuos to have to issue purchase invoices by hand, where Amazon can introduce and automated system, just like it did with the VAT invoices.

It sounds like you may be over or close to the limit if they are wording it this way in my opinion, there was a post on here a while back from someone who had not realised they were over threshold and amazon had asked for docs which they did not have so account was suspended

So there is really no automated receiptes unless you enrol to VAT calculation service. If you are not registered. you need to inform your business customers you are not VAT registered.

Amazon can automate invoices for VAT registered businesses but cannot automate issuing of purchase invoices for not-VAT registered businesses (like mine).
They ask us to do it by hand and if we don’t do it will soon impact our account health status including suspension of account.
I just was on a chat with Amazon asking them to automate the process of issuing of purchase invoices for non VAT regiseterd businesses.
I am posting the conversation below for you to read. I will leave it without a comment. Just read and enjoy

Me: At the moment, businesses who are VAT resgistered can register their details on Amazon to generate automtically VAT invoiuces for business cuatomers

As result we are asked every months to manualy create receipts for business customers purchases.

To enrol in VAT calculation services, you will need:

  1. All your available VAT registration numbers - including those associated with your ship-from locations, places of business, and distance selling obligations.

  2. The addresses associated with those VAT registrations.

  3. The default ship-from location associated with your seller-fulfilled offers.

  4. VAT registration numbers for every country where you have enabled FBA| Cross-Border Fulfilment Settings

You will also be asked to provide additional VAT calculation preferences during the enrolment process.

Thank you for patiently waiting. Upon checking, if you are not VAT registered, you will need to provide purchase invoice to customer, not VAT invoice. You can also inform the customer that you are not VAT registered in case your customer requests a VAT invoice.

What I am asking for is that you pass the information to your manager that there is a request from a non VAT registered business to provide non VAT registered businesses (like ours) with the possibility to automaticaly generate purchase invoices to business customers so we don’t have to do it by hand. It is about the status of our accounbt on Amazon

I receieve email from Amazon saying that if don’t provide purchase invoices to the business customers our account can be suspneded in the near future.

I fiund it ridiculuos to have to issue purchase invoices by hand, where Amazon can introduce and automated system, just like it did with the VAT invoices.

So it is possible

About your concern for suspension in the near future you have mentioned. You can reduce your Invoice Defect Rate through one of the following ways:

Option 1: Enroll in Amazon’s VAT Calculation Service and let Amazon create invoices on your behalf automatically. IDR is 0% when Amazon’s VAT Calculation Service generates an invoice on your behalf.

Option 2: Enroll in Amazon’s VAT Calculation Service and choose the settings to upload your own invoices via your solution provider.

Option 3: Upload your invoices via your solution provider without enrolling in Amazon’s VAT Calculation Service.

Option 4: Upload your own invoices manually from Manage Orders or Order Details page.

It sounds like you may be over or close to the limit if they are wording it this way in my opinion, there was a post on here a while back from someone who had not realised they were over threshold and amazon had asked for docs which they did not have so account was suspended
