Seller Verification keep Rejecting my Documents

Hi, i am trying to verify my documents as Amazon has requested them. They need Share allotment and Article of Association which i am providing them but they keep rejecting me. So i would like to know if someone can provide me a dummy of those Documents if i am doing something wrong. The thing is their Customer Verification and Customer service is Bad, we can’t talk to them or sort the matter out with them on phone. So my last hope is this Forum, It’s been 8-9 months and my verification is still pending. Please do let me know if anyone can sort this matter. Thanks

Are you uploading the documents in the correct format? PDF’s are usually the best way. As a limited company, you should have a register available at all times, which contains all of your company documentation including:

  • Certificate of Incorporation
  • Memorandum of Association
  • Articles of Association
  • Share Allotment Certificate

These documents are pretty straightforward. The Share Allotment Certificate shows how many people have subscribed to the company, their percentage of shareholding and the type of shares they hold. There is one certificate for each shareholder. The Articles of Association is like an instruction manual, stating how the company is to be operated. This can be as little as a few pages or run into hundreds of pages. Our A of A is 17 pages long.

I have the same issue. I sent all the request documents but I’m getting the same generic rejection. I’ve even created a letter clearing stating the share allotment (1 share to me the business owner). But that got rejected too. amazon customer service are trying to help but they don’t have direct contact with the verification dept.

My last contact with amazon customer service they suggested emailing seller-verification-enquiry@amazon.co.uk, I have sent the following… CS01 document from companies house, articles of association, share allotment document, letter confirming every beneficial owner (just me).

My suspicion is they could be rejecting say the share allotment document because it is older than 12 months. I have asked them to explicitly state the reason for rejection many times but they only provide a generic response.

I got another rejection today. However I have a possible solution.

In another forum post a few people claim that amazon likes to see everything in one companies house document. They have submitted a new CS01 to companies house AND have changed the share ownership. The suggest is adding you middle name on the shares document (to make a change) This creates a document listed at companies house that amazon likes and accepts.

So yea amazon is now forcing us to change our company house documents to suit their needs.

BTW you have to pay £13 to do the companies house thing. I’m in the process of giving this a go

Did any one else get reinstated after the above issue which im going through now, rejection of my share article of association, sent them my last one which is blank due to no updates and they have now sent this, i am devastated and don’t think I can appeal again as there is no option on my account of the email received , all advice would be very gratefully received as I feel as its the end of the world.

I literally have no idea what legal document we haven’t covered and I’m not sure they even understand what they are looking for. We have been verified for 6 years and suddenly they are rejecting the same documents they approved when we verified our account years ago.

So I just got this really helpful reply from Peter M from seller support. I also feel he is giving me a hint to just download and upload confirmation statement made on 16th March 2017? He must have looked on companies house to know this is the right document as the only confirmation statements I included in my case was 2021 and 2020. Either way, for my last upload I am going to do as AVAONUS has suggested. My confirmation statement 2017 will be included in that so I’m really hoping it works

For the statutes, you can get the document showing the shares breakdown on the link below and it will either be a Confirmation statement with updates (CS01) showing both changes to the shares and shareholders, the Certificate of Incorporation (IN01) showing the original shareholder breakdown, or an Annual Return (AR01) - whichever is the latest to have been uploaded:

Please download and submit "Confirmation statement made on 16 March 2017 with updates "

It is usually best to start with the latest uploaded documents and work your way backwards. Please note that not all Confirmation statement with updates contain shareholder details. It is important that the whole document is uploaded. Also, it does not matter about the date - it may be that it was uploaded a few years ago. It just has to be the last document that was uploaded to Companies house that shows the shareholder breakdown.

Different accountants have different ways of filing on Companies house. It has to be the last document that shows both the shares and the breakdown of shareholders.
