Having a constant problem with USPS
Hello all, I have a strange problem with my local post office, I believe they don't scan the packages the same day I drop them off. I visit the location every day and I never wait for receipt. It is a little town with little over a thousand people lives. I started getting A-Z claims hits just because "The customer has not received their package and our records indicate you shipped this order after the maximum handle time.". The item gets lost in delivery and Amazon fails the claim right away because they think I didn't ship it on the promised day.
How can I overcome this? Amazon is my only income and I have toddlers to feed at home. Thank you for your time

You need to make sure they are scanning your packages when you drop them off. If you don't make sure they do, preferably getting a scan receipt, they likely won't scan them and then you'll lose A-Z claims.

Pay attention to what @Seller_4zBzdtgCyS9EI and @Seller_DdmPiA1p1S2Wu
have said.
ALSO pay attention to a couple of things said by (now dead) sales trainer Zig Ziegler who used to say --
1. If you keep doing what you've been doing you will keep getting what you've been getting!
2. The definition of insanity is to keep doing the same thing over and over and expecting a different result!
Print out a SCAN FORM. Hand it to them and stand there until they scan it. While Amazon will not accept the SCAN form as proof it will probably prompt the clerk to actually process your packages.
In addition, since the PO now only gets credit for the packages they scan themselves I would remind them of how much you spend in that small PO that helps pay the bills.
I go to a one person PO that is open 5 hours a day. The $20,000 in postage that I spent there last year keeps their lights on and makes me one of their largest customers. They WILL go out of the way for me when I need something done.

Go to USPS.com and setup an account. When you have orders that need to ship, simply click on "schedule a pickup"
Make sure you select "pickup during regular mail delivery" or you will pay a pickup fee. Also, I select "knock on door/ring bell"
Make sure you do this by midnight in order to have it picked up next day.
Get to know your regular post carrier. Learn their name, tell them a little about what you do and how important it is to your business for the packages to be scanned the day they are sent. Buy them a Christmas or even birthday gift. In other words, make them your friend. You will be amazed how much this will help your business.
I live in a rather large city, but I know my carriers by name. I have three regular carriers and they go out of their way for me. Bring me mail tubs, check to see if i need priority mail boxes/envelopes, a couple come to the door even if i forget to schedule a pick up that day.

You should ask the clerk on duty to scan the packages right then and there. Make up an excuse if you want - blame it on Amazon, but yeah - sometimes the USPS is a little lax on their scanning. Another problem with the scanned items is that the delivery person will often scan all the items in the truck as "delivered", and maybe they will be delivered that day, and maybe they won't be. This causes a lot of angry customers - blaming me, of course - for packages that are recorded as "delivered" and the customer has not received them.
I even had a postal clerk set the scan gun to the wrong setting and instead of recording everything as "received by the PO", it recorded all 50+ packages as "Delivered". You can bet I got a lot of angry complaints about that little snafu. I went back to that PO and they said that once a package has been scanned as "delivered", there is nothing they can do about it.

If you are using Amazon's BUY Shipping, print a single scan sheet at the end of the day. It is much easier for the USPS to scan one sheet than a bunch of packages.
I have my local office trained to scan that one page before I leave. Even if there are people in line they will quickly scan my sheet. They didn't always give me so much quick attention. But if they realize all you need is a quick (single) scan they might scan it quickly to get you to leave quickly.

You answered your own question. WAIT IN LINE FOR THE ACCEPTANCE RECEIPT. I have this fight with USPS almost daily as they come out and try to either get me to just drop them in a window and leave and hope they get scanned....or use this self service kiosk that generates a fake receipt that will fool your boss...but nobody in real life will accept as it doesnt indicate anything but you entering in some #'s in their lobby and not that they actually accepted anything from you. It sucks...but plan on waiting in line and getting each item scanned in and walking out with a receipt you really dont need for anything but to force them to scan them in so they show in Amazons tracking as soon as possible...which still takes the better part of a day to propagate out to Amazons tracking system...unlike UPS that is fairly immediate.

Hi there @Penny_s,
Thank you for utilizing the Seller Forums.
I do suggest contacting the carrier or speaking with someone at the carrier facility to see what options they have in terms of scheduling pick-ups. If the carrier is unable to do so, you will want to ensure you are still fulfilling and shipping your orders on time and take the packages to the carrier of choice to make sure they are scanned in prior to the ship-by date.
I do want to thank all members of the community who have already replied here, with some great advice.
Let us know if you need further assistance,
Stevie

Have a talk with your local Postmaster. In a small town this is fairly easy to do. Explain your situation and see if they can help. I did direct mail for over 30 years when I was working and always had good communications with many local postmasters.
