Getting Refund For Cancelled Postage Labels - linked RM account

Over the last few months, we have needed to cancelled to reapply postage on Amazon. It takes about a month but eventually we get an email to say the label has been cancelled & to pursue the refund with RM as we have linked account. We are going around in circles though as RM say this isn’t possible.

Firstly are there any reports where I can see cancelled labels? Unfortunately I have a team of people so not always sure how many have been cancelled.

Secondly has anyone actually managed to get a refund from royal mail, is there a form or something I am missing. Our account manager isn’t any help.

Don’t know if this is still an issue, but managed to get mine refunded via this route.
I was advised that: ‘To cancel or amend a confirmed sales order please visit
https://www.royalmail.com/forms/contactfinance and select the option “mistake on my sales order”
you can then cancel this so you are not billed.’
I related the cancelled label to the sales order it appeared on and then copied/pasted in as proof the email from amazon confirming the label had been cancelled.

If you have a linked RM account, and you are cancelling the postage, they shouldn’t even be on the manifest therefore you are not charged in the first place

We are facing the same ordeal. Going round in circles with RM. This is the latest response we’ve received from RM in response to our email about the cancelled RM labels within Amazon Buy Shipping. These were CRL labels.

I understand you have paid to use royalmail service, but you purchased this through amazon. As you have stated the below If you purchased this delivery using a linked carrier account, please work directly with the carrier for the refund. This would be royalmail, as you didn’t use a royalmail account.

You need to speak with amazon.

On the subject of cancellations can I ask why you would want to cancel a prepaid label? Is it because you marked the order as dispatched and then received a cancellation request?

Yes they could be cancelled because we have received a cancellation or picker hasn’t noticed the customer has upgraded to a tracked service so reapplies postage. It’s for various reasons really.

@timallenbooks I agree it’s a royal mail fault. Amazon have no responsibility to refund as I have my RM account linked. It’s probably a different story if you are paying for postage through your amazon account.

I have emailed our RM account manager again with a couple of labels QR codes that haven’t been refunded. Its only really come to light as we have been moved to weekly billing and a label cancellation decision takes up to 1 month.

I have only ever cancelled about 5 large letter items so not a huge issue for me. I saw they still apperared on the manifest but naively thought Roayl Mail had a system in place to refund once they had confirmed cancellation of the label. Can you advise as to the title of the email notification you get from amazon when they confirm Royal Mail cancellation so I can track mine back and try and claim for them?

The email says ’ Your Amazon postage refund has been approved’

In the email it then states to work with royal mail to get the refund. I have calculated its around 30 refunds for us over the last 6 months. Which is high. I working with our team to ensure this doesn’t happen quiet so frequently. So hopefully the number will reduce! Will update if I get any response from royal mail.

Thanks for the email title. I have tracked mine back and will raise with Royal Mail as well. Will let you know how I get on. I don’t think they will have any choice but to refund - the trouble will be getting someone at Royal Mail to understand the issue.

Good luck. Might be time consuming if you have a lot to do. Maybe try a few and see what response you get. Only did it late yesterday and was refunded early this morning.

So frustrating, I think I am just communicating with someone who doesn’t understand.

I will see what response i get to me last email and then maybe try to complete form again and hope I get some one else dealing with the enquiry.

Yes they could be cancelled because we have received a cancellation or picker hasn’t noticed the customer has upgraded to a tracked service so reapplies postage. It’s for various reasons really.
