What to do if the EAN has been linked to the wrong ASIN?

Hello everyone!

In the past, we have read about errors during the listing creation process, where the EAN was previously incorrectly linked to a different ASIN. Therefore, we want to provide instructions on how to proceed in such cases.

You have two options:

  1. Choose "This is not my product" while creating the offer and contact Seller Support Services (SPS) to report the issue.
  2. Reach out to SPS directly, providing a screenshot of the conflicting error message and supporting documents.

Note: Providing the Seller SKU is crucial, even if the item hasn't been created or added to the inventory yet, as the exemption will be granted based on the SKU, EAN, and Seller ID.

Supporting documents:

If you are the brand owner:

  • A copy of the GS1 certificate, which shows the owner's legal entity and associated GTIN prefix.
  • Proof of the relationship between the legal entity on the GS1 certificate and the brand, such as trademark registration documents or a website owned by the brand, manufacturer, or UPC/EAN owner, clearly displaying the connection between the brand and the UPC/EAN owner.

If you are not the brand owner:

  • A letter or legal agreement from the manufacturer or brand, confirming that either the GTIN used by you is valid and owned by the manufacturer/brand OR that you are authorized to use your own GTIN to sell unique products with the brand.
  • The letter/agreement must include contact information for the brand/manufacturer's point of contact for verification purposes and if you are using your own GTIN, it needs a clear establishment of the relationship between your prefix and the brand.
  • Alternatively, if you use your own GTIN, you can provide a copy of the GS1 certificate, showing the legal entity and associated GTIN prefix.

What happens if a manufacturer recycles EANs? That is, very old product no longer made, so they reuse the EAN on a new, entirely different product?

But you do realise that if the item has not yet been added to inventory, there is no Seller SKU?

Or is seller supposed to add the item to inventory anyway (knowing it is incorrect) then raise the issue?

If Amazon then grants exemption based on SKU, EAN and Seller ID - does this mean we get 2 products in the Amazon Catalogue with same EAN? - That could explain quite a few errors.

Then as for sending supported documents - what happens if seller is NOT brand owner and the GTIN belongs to a manufacturer who has a license to produce a Branded item? Seller provides authorisation from the manufacturer to say that they can sell the manufacturers goods - but Amazon then says they want it directly from the Brand - but there is no direct relationship between Seller and Brand only between Seller and Manufacturer and then between Manufacturer and Brand.

Then you message seller support who tell you that there is no active listing with that SKU so cannot help any further. Its a Catch22 situation. Cannot add item and Support asks for its SKU but the SKU does not yet exist!

It's not recommended to add an item to inventory if it's unrelated to the product being created with the EAN code. If you add the wrong item and then request a fix, it may not be possible due to unchangeable attributes

But that is the problem - there are many items in the Amazon Catalog with the wrong EAN and also often assigned to the wrong or incorrect Brand. Even when I have proved the EAN belongs to a particular company via the particulars on the GS1 website Amazon refuse to make the changes saying only brand owner can do so. But the brand owner of an officially licensed product does not want to get involved. It is the EAN owner (or their authorised representative) who should be the person to contact to make changes - not the Brand owner.

Tried that and nothing ever happens. As above I can prove a particular EAN belongs to my supplier who manufacture officially licensed (branded) items. As such they should be the people to contact to authorise changes - not the brand owner. But the manufacturer is never contacted and even when they have themselves contacted Amazon saying they are the official manufacturer of the item, Amazon still do not allow the changes to be made as its locked to the Brand.

Amazon needs proof of affiliation between the Brand and the GTIN Owner, establishing the relationship, not just between the Seller and the Brand. If there's no existing contact or relationship with the brand, you should reach out to the manufacturer to obtain a document establishing proof of affiliation between the GTIN owner and the brand

Often such documents are commercially sensitive and some manufacturers are reluctant to send copies or at least not heavily redacted copies which Amazon then do not accept. Even when I have managed to obtain the evidence of affiliation between brand and manufacturer and a separate document authorising me as a seller to market the manufacturers goods I still am unable to make any changes to the listing if I see an error.
